Renewals are where a gym's money is made or lost. Good gym software sends a WhatsApp or SMS before a plan ends, when a balance is due and when a member hasn't visited for a while, without anyone at the desk pressing a button.
GST invoices and Indian payments
Look for a GST invoice with every payment (CGST and SGST, or IGST) and for UPI, cash, card and part payments, with balances that carry a due date. A tool built abroad with a rupee sign added rarely gets this right.
A fast front desk
The 6 AM rush is the real test. Members should be checked in by ID, card, name or mobile in seconds, with expired plans and pending balances flagged right there. A tablet at the gate in kiosk mode saves even more time.
Leads that get followed up
Every walk-in, call and Instagram enquiry should land on one board with a follow-up date, so nobody who asked about joining is forgotten.
Branches, staff and permissions
If you have, or plan, more than one branch, check that one login covers them all and that staff can be limited to their own branch and to what they are allowed to see.
Your data, in and out
Moving from Excel or old software should take an afternoon, not a month. And you should be able to export members, payments and reports to Excel whenever you like.
Works on the phone you already have
Owners check collections at night and trainers update plans on the floor. Every screen should work on an Android phone, a laptop and a tablet, with nothing to install.
